How Continence Health Australia Manages Its Critical Reporting Requirements With Open LMS

Continence Health Australia is the country’s leading not-for-profit organization for promoting incontinence prevention, management, education, awareness, and advocacy. The government-funded organization provides essential educational resources, training, and support for individuals, personal care workers, and healthcare professionals (as well as professionals-in-training) across Australia.

The Challenge: Finding an LMS With Advanced Reporting Features

Continence Health Australia offers education to a wide range of audiences, with one of its functions being to provide continuing professional development (CPD) to healthcare workers. Physicians, nurses, and care providers across disciplines join the organization to access learning modules that can be counted toward their CPD requirements. These professionals must complete a minimum number of CPD hours as part of their registration requirements. Accurately tracking these hours is crucial to ensuring that Continence Health Australia’s members have a trusted record of their course completions.

Additionally, the organization must satisfy strict reporting requirements to maintain its funding from the Australian government. According to Learning and Development Manager Sarah Church, Continence Health Australia must report information such as enrollment numbers, course offerings, and completion rates every six months. Unfortunately, the organization’s previous learning management system made running accurate reports twice a year a time-consuming and arduous process.

Continence Health Australia decided it was time to find a new LMS provider that could offer more advanced reporting functionalities. The professional association needed a system that made it easier to track their members’ learning progress. It also needed the ability to swiftly run reliable reports so the L&D team could spend less time validating data from multiple spreadsheets.

We have about 30 courses that I have to report on every six months. The Open Reports Engine saves me five to ten days’ worth of time compared to our old system.

The Solution: Upgrading to an LMS With Highly-Configurable Reporting and Analytics Tools

Continence Health Australia was using Learnbook, a learning platform from eThink Education (now part of Open LMS), but the professional association came to feel that Learnbook's reporting capabilities were no longer adequate. Otherwise satisfied with the service it received, Continence Health Australia decided to transition to Open LMS WORK for its learning management needs after eThink became a part of Open LMS.

The transition from Learnbook to Open LMS WORK was managed entirely on the backend by the Open LMS support team. Continence Health Australia only needed to shut down its LMS for approximately 24 hours, making the switch a smooth and seamless operation. Users experienced very minimal interruption, and the organization noted that the new Open LMS WORK platform was much easier to navigate. The upgrade immediately improved the user experience, and survey results indicate that the new LMS navigation experience is generally “Good,” a marked improvement from Learnbook’s consistent “Poor” rating.

The new platform’s extensive flexibility and exclusive Open Reports Engine (ORE) tool also made it easier for Continence Health Australia to generate reports without moving large amounts of data from their system into spreadsheets.

The reporting function in our old LMS was effectively nonexistent. Open Reports Engine lets me go by date, course title, enrollments, completions, and many other categories. It’s a game changer.

The Results: Trustworthy Data and Significant Time Savings

With Open LMS WORK, Continence Health Australia’s L&D team generates extensive, custom reports right within the LMS. ORE makes it easy to track the data that the organization needs to maintain its funding and ensure its members have accurate learning records. ORE allows the L&D team to swiftly create visualizations based on its data, making the information much more accessible and easy for stakeholders to understand.

Previously, the organization created its reports by piecing together information from various spreadsheets. Although it got the job done, this method was inefficient and increased the risk of human error being introduced into the reports. ORE has solved this problem and gives Continence Health Australia greater peace of mind that its reports are accurate representations of course enrollments, learner progress, and other L&D processes that the institution must report to the Australian government for funding purposes.

ORE has helped the L&D team reduce time spent generating reports by approximately five to ten days. This is a significant time saving that allows the organization to devote more resources to other important initiatives while still trusting the integrity of these crucial reports.

I can trust the data from Open LMS’s Open Reports Engine. I know that what I’m downloading is correct.
